And none of them can tell you how many Year 7 enquiries turned into enrolments last year, because the answer was never written down anywhere that survived.
The enquiry arrives as an email to whoever is on the front desk. Nobody else can see it, and it is answered or it is not.
Someone retypes the family into a tracking sheet. It is the real pipeline, it lives on one person’s drive, and it is wrong within a fortnight.
The application is downloaded, printed, filled in by hand, scanned and emailed back. Then typed into the spreadsheet a second time.

The enquiry form is a widget on a page you already have, the tour page is a page, and the confirmation lands from the school’s own domain. A family never gets handed off to a portal with someone else’s name on it. Walk-ins get added at the counter, and a school running several intakes can run a separate funnel for each.
Every family sits on a stage — enquiry, tour, application, interview, offer, accepted — with tasks, tags, notes and a warmth score you can see the weights for and change. Duplicate enquiries merge instead of quietly double-counting. Every email, SMS, tour and document lands on one timeline for that family.
Publish sessions with a capacity, and families pick a time from the school’s website. Seats freed by a cancellation are offered to whoever is next. At the door, take walk-ins, check people in and print name labels; afterwards, export the session.
It is built in the same forms builder as everything else, so you decide what it asks. Families answer over several sittings from a resume link, pay the application fee through the school’s own Stripe account, sign, and the school keeps a PDF of exactly what was submitted.
Send an offer against a specific program and year level. The family accepts online, and only then are they invited to create an account — so nobody is asked to make a password to ask a question about Year 7.
Set the places you have per year level and per intake year. Families past a waitlist stage queue in order, and when a place frees the next family in that year level — not the next family overall — is offered it.
Stage changes, dates and inactivity trigger emails and SMS from the school’s own accounts. Bulk actions move, tag or message a whole selection at once, and everything sent is recorded against the family.
Stage-to-stage conversion, drop-off, time in stage, year on year, capacity forecast and application fee income — measured against what actually happened, so last year’s numbers still mean the same thing when you look at them next year.
THE FAMILY’S SIDE
A family enquiring about Year 7 should not have to invent a password. The link in the school’s email opens their own page: where the application is up to, what is still needed, and somewhere to upload it. They are only asked to create an account once they have accepted a place — at which point it becomes their parent account for the rest of the school.
